Faculty/Wireless/Lab/Other users - Using Physics Printers

Windows: If you are having trouble connecting to a printer from your Windows, you must connect to our network printers using '\\physics.harvard.edu\[name of printer]'
(example: \\physics.harvard.edu\black-rhino ).
You cannot connect directly to the printer via IP address or hostname. You must connect via physics.harvard.edu and enter your Physics username and password when prompted.

  1. Select "Printers and Faxes" from the Start menu

  2. Click "Add a printer" to start the wizard
  3. Click Next on the welcome page
  4. Select "Network printer or a printer attached..."
  5. Click Next
  6. Select "Connect to this printer [or browse..."
  7. For "Name:" enter \\physics.harvard.edu\[printer name] (see names above)
  8. Click Next
  9. A message may pop up about automatically installing a driver. Click 'Yes', if so. Otherwise, pick a driver to match that printer's model (as shown in the list of printers above).
  10. Select "No" for the default printer question. (Unless you are contiually connected to the Harvard network, please answer 'No')
  11. Click Next
  12. Click Finish

  13. You may need to install a driver for the printer if your OS does not provide a recent one. Visit HP support to find the driver you need.

Linux: You will need to connect using Samba. Server = physics.harvard.edu Printer/Queue = name of printer. You will be asked to enter your Physics username and Samba/Windows password. (Your samba/windows password and unix/e-mail password are separate entities. Please see Account Maintenance for more informtation on changing passwords.

Mac OSX: Mac OSX 10.4 users click here for more instructions. Mac OSX 10.3 users, select "Windows Printing" in the Printer Setup Utility and for Device URI, enter smb://physics.arvard.edu/printername . Do not turn on print sharing for these printers from OSX.

*NOTE: The color printers produce high-quality color prints and each print is very expensive relative to the cost of black & white prints. As such, their output is monitored. Any excessive use will be investigated. Please do not use library-color or white-elephant if a B&W printer will suffice.

Using the SEND function on Canon copiers

The Canon imageRunner copiers can be used to create PDFs from documents which are then automatically e-mailed to any e-mail address.

  • On the touch screen, touch the "Send" tab.
Touch "E-Mail" and enter the e-mail address to send the PDF file to. You can repeat this process for multiple recipients.
  • Proceed as you would if you were copying, placing the document(s) on the glass or in the top feeder, and press the green "Start" button. If you used the glass, a dialog box will pop up asking you to select "Done" if this is the only/last page to scan in. if it's not, put the next page on the glass and press "Start" again (repeating for each additional page). When the last page has been scanned, press "Done" on the touch screen. You can avoid this by using the document feeder for multiple pages - it will not ask you to click "Done".
  • After the above is complete, the machine will process the new PDF and mail it off. You will hear a quiet beep when it's done.
  • If you have two-sided originals, simply touch "Two-Sided Original" on the touch screen before you press the green "Start" button.

Keep in mind that if you are sending many pages (say, greater than 50 pages) or if you have increased the DPI on the control panel due to fine images on the pages, the files may get very large. In such cases, you might wish to break up the job into multiple sends.
To give you an idea, 40 pages scanned normally will result in a PDF that's about 3MB (Megabytes).
